By the middle of August, the hardest work your commercial HVAC system will do all year is already behind it. It spent July holding the line against the worst that a Northeast Ohio summer had to offer — long, brutal afternoons where the equipment ran nearly flat out just to keep pace. It is easy to read that as good news: the building stayed comfortable, nothing failed, the season is nearly over. Relax.
That instinct costs facility managers real money every year. The weeks between the last heat wave and the first cold morning are the quietest and most valuable window your equipment gives you — a narrow stretch where the system is neither cooling hard nor heating yet, where a technician can actually get onto the roof and diagnose without an emergency driving the visit. Most buildings waste it, and then pay for the privilege in October.
A hard summer is a free diagnostic — if you read it
There is a useful truth buried in how commercial cooling equipment is engineered: a correctly sized system carries almost no spare capacity at peak conditions. It is designed to hold setpoint on the hottest reasonable afternoon and not much more — which we walk through in detail in our technical brief on outdoor design temperature. The practical consequence is that summer is a stress test the building runs for free. A system that barely kept up in July, or kept up only by running continuously, was telling you something. So was the one that tripped on a hot afternoon and reset itself before anyone called.
Those signals are cheap to act on now and expensive to ignore. A marginal compressor, a low refrigerant charge, a coil that has lost a third of its airflow to fouling — none of these announce themselves in mild weather. They surface under load. Late summer is the one time you have both the evidence of how the system performed and the slack in the calendar to do something about it.
What the heat actually wore down
Peak-season operation is hard on specific components in predictable ways. After a demanding summer, these are the parts worth a professional look before the equipment is asked to switch roles and heat:
- Compressors and refrigerant charge. Every start under high head pressure is mechanical and electrical stress, and a summer of long run times accelerates ordinary wear. A charge that drifted low will have quietly cost you capacity and efficiency for months — and will keep doing so.
- Capacitors and contactors. These are the cheap parts that strand you. A contactor pitted by thousands of summer cycles is a classic late-fall failure, and it fails on the first cold morning the heat tries to fire, not on a mild afternoon when a technician is already on site.
- Coils and airflow. Condenser and evaporator coils fouled over the season reject and absorb heat poorly. The unit compensated by running longer and drawing more power. Cleaning them is one of the highest-return maintenance tasks there is.
- Economizers. An economizer that was stuck open all summer force-fed your building hot outdoor air for months. The same failure, left uncorrected into winter, force-feeds it freezing air instead. Field studies put economizer failure rates around 60%, and they fail silently — the unit still “runs.”

The decision late summer forces: repair or replace
For older equipment, a hard summer often surfaces the question no one wants to face on a January morning: is this unit worth fixing again, or is it time to replace it?
Late August is the right moment to answer that deliberately rather than under duress. The honest framework is not complicated:
- Age. Most commercial rooftop units are engineered for roughly 15 to 20 years of service. Past that, the calculus shifts from “can it be fixed” to “should it be.”
- Repair frequency. One repair is maintenance. A third service call in eighteen months is a pattern, and the pattern usually costs more than the payment on a replacement would.
- Efficiency decay. An aging, fouled, slightly undercharged unit can burn 20% or 30% more energy than its nameplate — a cost you pay every month, invisible on any single bill.
- Parts and refrigerant. Equipment built for phased-out refrigerants gets more expensive to keep alive every year as the supply tightens. At some point the recharge is throwing money at a machine the regulations have already retired.
When replacement is the answer, doing it now — on a planned timeline rather than in a mid-winter outage — is what makes it affordable and correct. A planned replacement can be properly sized to the building's actual load, coordinated around your operations, and installed by a team that engineered it rather than one racing the weather. For most commercial projects that is a design-build conversation, and it is a far better one to have in September than in a no-heat emergency. The heating handoff most buildings botch
Here is the failure mode we see every single fall: a building runs its cooling all summer, never thinks about the heat, and discovers on the first genuinely cold morning — usually a Monday, usually with a full building — that the heating side will not start. A contactor, a stuck valve, an ignition fault, a control that drifted. Small parts. Catastrophic timing.
The heating equipment sat idle for months. Idle equipment develops faults that only reveal themselves on startup, and the worst possible time to discover them is the moment you need heat. A late-summer heating startup test — firing the system deliberately, under no pressure, while a technician is standing there — turns a January emergency into a September work order. The budget window is open right now
There is a financial reason late summer matters that has nothing to do with the equipment. For most organizations, Q4 is when next year's capital budget takes shape. An honest assessment in August or September gives you something most facility managers never have when they need it: real numbers to budget with.
The alternative is the one nobody chooses on purpose. Equipment that fails in the depth of winter gets replaced at emergency speed, at winter pricing, sized by whoever can get there fastest, and funded out of whatever line item is least protected. A known problem identified in the quiet window becomes a planned line in a budget. The same problem discovered in a January outage becomes a crisis. It is the identical repair — the only variable is whether you saw it coming.
What to do this month
If your building leaned on its cooling system hard this summer, four things are worth doing before the weather turns:
Get the roof walked while it's mild. A post-season inspection catches what the heat exposed — coils, charge, contactors, economizer — while there is still time to fix it on your schedule.
Ask the repair-or-replace question about anything over fifteen years old. Decide it deliberately, with real numbers, not in the middle of an outage.
Fire the heat before you need it. A five-minute startup test in September is the cheapest insurance against a no-heat call in December.
Put next year's numbers on paper now. The assessment you get in the quiet window is the budget you'll be glad you had.
